How SimpleMileageCalc Works
SimpleMileageCalc is an independent set of browser-based tools for estimating mileage amounts, organizing trip records, and preparing a starting point for an expense report. This page explains the calculation method, source review process, and the limits of each estimate.

Calculation method
The main calculator multiplies the miles entered for a category by the displayed standard mileage rate and, when you choose a monthly or weekly frequency, applies that frequency to produce an annual estimate. The reimbursement calculator multiplies miles by the cents-per-mile rate entered by the user. Neither calculation determines whether a trip is eligible.
| Tool | Calculation | Use it for |
|---|---|---|
| IRS mileage calculator | Miles × selected rate | A category-based estimate |
| Reimbursement calculator | Miles × employer rate | An expense-report estimate |
| Gas cost calculator | Distance ÷ MPG × fuel price | Fuel-only trip planning |
Sources and update process
Displayed 2026 rates are checked against the IRS standard mileage rates page and the notices linked from the 2026 rate guide. When the official source changes, we review the rate table, formulas, examples, and downloadable templates together. If you spot a mismatch, send the URL and the correction to support@simplemileagecalc.com.
Why 2026 is split into two periods
The calculator keeps January 1 through June 30 and July 1 through December 31 separate because the official 2026 business and medical/moving rates differ by trip date. For example, 300 business miles in the first period at 72.5 cents equals $217.50; 300 miles in the second period at 76 cents equals $228.00.
What the tools do not decide
- They do not decide whether a trip is business, commuting, medical, charitable, or otherwise eligible.
- They do not determine whether an employer's reimbursement is taxable or whether its policy accepts a specific record.
- They do not compare every vehicle expense or tell you which tax method is best for your circumstances.
- They do not replace a contemporaneous mileage log, supporting records, official IRS guidance, or professional advice.
Privacy and local processing
The calculations and generated files run in your browser. The site does use aggregate analytics to understand page use and tool interactions; we do not send the mileage, route, or purpose values you enter as analytics properties. See the Privacy Policy for more detail.
